At Devbhumi Tours Services, we believe in complete transparency. We understand that plans can change, and we have designed our refund policy to be as fair and client-friendly as possible while accounting for the costs we incur with third-party service providers upon confirmation of a booking.
1. Overview
This Refund Policy applies to all tour packages, pilgrimage itineraries, adventure tours, and travel services booked through Devbhumi Tours Services β whether booked online, over the phone, or in person at our office.
All cancellation requests must be submitted in writing to ensure proper documentation and processing. Refund amounts are calculated based on the date we receive the written cancellation request β not the date of verbal communication.
2. Cancellation & Refund Schedule
The following schedule applies to most domestic tour packages. Special packages (Char Dham Yatra, International Tours, Peak Season bookings) have separate terms outlined below.

3. How to Request a Cancellation
To initiate a cancellation, please follow these steps:
Email support@devbhumitoursservices.com with subject line: "Cancellation Request β [Your Booking ID]"
Your full name, booking ID / reference number, registered phone number, tour name and departure date, and reason for cancellation.
We will acknowledge your cancellation request within 24β48 hours and confirm the applicable refund amount.
Approved refunds are credited back to the original payment method within 10β15 working days of final confirmation.
4. Refund Processing
- Refunds are issued to the original payment source only (bank account, UPI ID, or the card used).
- We do not issue refunds in cash except where payment was made in cash at our office.
- Bank transfer refunds require you to provide your account number, IFSC code, and account holder name.
- Processing time is 10β15 working days after cancellation is confirmed. Bank processing timelines may extend this by 2β5 days.
- Devbhumi Tours Services is not responsible for delays caused by the client's bank or payment processor.
5. Non-Refundable Components
Regardless of when a cancellation is made, the following components are strictly non-refundable once booked and confirmed:
- Government permits, registrations, and entry fees (e.g., Char Dham Yatra portal registration, national park permits)
- Helicopter booking charges (Kedarnath, Badrinath)
- Train tickets and bus bookings made on your behalf
- Advance hotel bookings where the hotel's own cancellation deadline has passed
- Visa and documentation fees for international packages
- Non-refundable airline tickets purchased on your behalf
- Service and processing fees charged at the time of booking
6. Rescheduling Policy
We understand that life is unpredictable. As a client-friendly option, we offer free rescheduling under the following conditions:
- Rescheduling request must be received at least 15 days before the original departure date.
- The new travel date must be within 12 months of the original booking date.
- If the new dates result in higher package costs (e.g., peak season rates), the difference will be charged.
- Rescheduling is subject to availability and cannot be guaranteed for peak-season dates.
- Only one free rescheduling is permitted per booking. Subsequent changes attract a βΉ500ββΉ2,000 administrative fee.
7. Special Cases
Char Dham Yatra Packages
Due to advance government registrations and limited availability, Char Dham packages have stricter refund terms. A minimum of 50% cancellation charge applies regardless of the notice period. The government registration fee is non-refundable in all cases.
Peak Season Bookings (AprβJun, OctβDec)
Peak season bookings require a higher advance deposit and are subject to modified cancellation terms communicated at the time of booking. In general, cancellations within 21 days of departure during peak season attract a 100% cancellation charge.
Group Bookings (8+ Pax)
Group bookings are governed by a separate Group Travel Agreement signed at the time of booking. Generally, group cancellation charges are higher due to block bookings made with hotels and transport providers.
Corporate & MICE Tours
Corporate event and MICE (Meetings, Incentives, Conferences, Exhibitions) bookings are subject to individual contractual terms. Please refer to your signed agreement.
8. Force Majeure & Natural Disasters
In the event of cancellations due to force majeure β including floods, landslides, earthquakes, pandemics, government-imposed restrictions, or other extraordinary events β the following approach applies:
- We will first offer a free reschedule of the tour to a suitable alternative date.
- If rescheduling is not feasible, we will refund the recoverable amount β i.e., the portion we are able to recover from hotels, transport providers, and other vendors.
- Non-recoverable amounts (permits, airline tickets, advance hotel deposits) will not be refunded as these are costs we have already incurred on your behalf.
- We will provide full transparency on the amounts retained and the amounts refunded in all force majeure cases.
9. International Tours
For international tour packages (Maldives, Bhutan, Sri Lanka, etc.), the following additional conditions apply:
- Full payment must be received 15 days before departure.
- Cancellations more than 45 days before departure: 30% charge.
- Cancellations 30β45 days before departure: 50% charge.
- Cancellations 15β29 days before departure: 75% charge.
- Cancellations within 14 days: 100% charge (No refund).
- Visa fees and airline tickets are separately non-refundable once issued.
10. Partial Use of Services
No refunds are issued for any part of the tour that is not utilised by the client due to:
- Voluntary early departure from the tour
- Missing scheduled activities due to personal reasons
- Failure to arrive at the designated pick-up point on time
- Illness, injury, or other personal circumstances arising during the tour
- Non-usage of any included meals, rooms, or transport segments
